Privacy Policy

This Privacy Policy ("Policy") describes how Interpretool ("we," "us," or "our") collects, uses, and shares your personal information when you use our website at interpretool.com and our real-time transcription and translation service (collectively, the "Service"). By using the Service you agree to the practices described in this Policy. If you do not agree, please do not use the Service.

1. Information We Collect

Information you provide

  • Registration information. When you create an account we collect your name, email address, and a hashed password. If you sign in with Google we receive your name, email, and profile picture from Google OAuth.
  • Billing information. Payment is processed by Stripe, Inc. We do not receive or store your full card number. Stripe provides us with a customer ID, subscription status, and last-4 digits for display purposes only.
  • Communications. If you contact us by email we retain that correspondence.

Information generated when you use the Service

  • Audio chunks. When you start a session the Service captures short audio segments (approximately 5 seconds each) from the browser tab you select and sends them to Deepgram, Inc. for speech-to-text transcription. We do not store audio recordings on our servers. Audio is transmitted directly to Deepgram and discarded after transcription. Deepgram's privacy policy governs their handling of that data.
  • Transcription text. Transcribed text is returned to your browser for display. We do not persistently store transcription text after your session ends.
  • Translation text. Transcribed text is sent to Microsoft Azure Cognitive Services Translator for translation. We do not store translated text after your session ends. Microsoft's privacy statement governs their handling of that data.
  • Usage data. We record how many seconds of transcription you use per billing period, the plan you are on, and timestamps of API calls for rate-limiting and fraud detection.
  • Device and browser information. We receive your IP address, browser type, and operating system as part of normal web traffic. We use this for security purposes.

2. How We Use Your Information

  • To provide the Service — authenticating you, routing audio to Deepgram, routing text to Azure Translator, and displaying results in your browser.
  • Billing — tracking usage against your plan limits and processing subscription payments through Stripe.
  • Security and fraud prevention — rate-limiting API calls, detecting abuse, and enforcing our Terms of Service.
  • Service communications — sending transactional emails such as email verification, password resets, and billing receipts via Resend, Inc.
  • Service improvement — aggregated, anonymized usage statistics help us understand how the Service is used and improve it.

We do not sell your personal information. We do not use your audio, transcriptions, or translations to train machine learning models.

3. How We Share Your Information

We share personal information only as necessary to provide the Service:

  • Deepgram, Inc. — receives audio chunks for speech-to-text transcription. See deepgram.com/privacy.
  • Microsoft Corporation (Azure) — receives transcription text for translation. See privacy.microsoft.com.
  • Stripe, Inc. — processes payments and manages subscriptions. See stripe.com/privacy.
  • Neon (database hosting) — stores your account data and usage logs in a PostgreSQL database. See neon.tech/privacy.
  • Vercel, Inc. (hosting) — hosts the web application. See vercel.com/legal/privacy-policy.
  • Resend, Inc. — delivers transactional emails. See resend.com/legal/privacy-policy.
  • Google LLC — if you sign in with Google, we receive profile data via Google OAuth. See policies.google.com/privacy.
  • Legal requirements. We may disclose information if required by law or to protect our rights, our users, or the public.
  • Business transfers. If Interpretool is acquired or merges with another entity, your information may be transferred as part of that transaction.

4. Data Retention

We retain your account data (name, email, plan, usage counters) for as long as your account is active. If you delete your account we will delete your personal data within 30 days, except where retention is required by law (e.g., billing records retained for 7 years for tax purposes).

Audio recordings are never stored by us. Transcription and translation text is ephemeral — it exists only in your browser session and in transit.

5. Cookies and Tracking

We use only strictly necessary cookies required to operate the Service. We do not use advertising cookies or third-party tracking pixels. See our Cookie Policy for full details.

6. Your Rights

Depending on your location you may have the following rights regarding your personal information:

  • Access. Request a copy of the personal information we hold about you.
  • Correction. Request correction of inaccurate or incomplete information.
  • Deletion. Request deletion of your account and personal data.
  • Portability. Request your data in a structured, machine-readable format.
  • Objection / restriction. Object to or request restriction of certain processing activities.
  • Withdraw consent. Where processing is based on consent, withdraw it at any time without affecting the lawfulness of prior processing.

7. Children

The Service is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has created an account, contact us and we will delete it promptly.

8. Security

We implement industry-standard security measures including HTTPS-only transport, hashed passwords (bcrypt), JWT-based session tokens in httpOnly cookies, and least-privilege database access. However, no system is completely secure and we cannot guarantee the absolute security of your data.

9. International Data Transfers

Our service providers may process data in the United States or other countries outside your jurisdiction. By using the Service you acknowledge that your information may be transferred to countries with different data protection laws than your own.

10. Changes to This Policy

We may update this Policy from time to time. We will notify you of material changes by email or by a prominent notice on the Service. Continued use after changes take effect constitutes acceptance of the updated Policy.
